This policy explains what information 4words collects, why it is used, and the choices available to you. 4words is a workspace for organising creator projects and, when you choose, scheduling content for connected social networks.
Information we collect
We collect information needed to provide the service, including:
- Account information: your name, email address, hashed password and account preferences.
- Workspace content: files, notes, tasks, documents, sheets, labels, uploads, dates and other information you add to a workspace.
- Social connections: the social network, account identifier or username, permissions granted, access and refresh tokens, token expiry information and connection settings.
- Publishing information: scheduled post text, media or media URLs, posting times, linked workspace files, publishing responses, status history and errors.
- Technical information: session information, IP address, browser details and application logs used to operate, secure and troubleshoot the service.
How we use information
We use this information to authenticate you, provide and maintain workspaces, save and restore backups, schedule and publish content you request, show publishing results, prevent misuse, investigate faults and improve the reliability of 4words.
We do not sell personal information or use workspace content for third-party advertising.
Social network connections
Connecting a social account is optional. When you connect one, you authorise 4words to perform only the actions described on the network's consent screen, such as reading basic account information and publishing content you schedule.
A social connection belongs to the workspace. Other authorised members of that workspace may be able to view its connected account name and schedule content for that account. Do not connect an account to a workspace whose members you do not trust.
You can disconnect an account in Workspace settings → Socials. You can also revoke 4words directly in the connected network's app or website permissions. Revocation prevents future access, although records of posts already published and routine encrypted backups may remain for a limited period.
Sharing with service providers
We share information only where necessary to provide the service: with a social network when you connect an account or request publication, and with infrastructure providers that host, store, deliver email or help secure 4words. Those providers process information on our behalf or under their own privacy terms.
We may also disclose information where required by law, to protect the rights and safety of users, or in connection with a business transfer.
Security and backups
We use reasonable technical and organisational safeguards. Social credentials are encrypted in the application database, and workspace backups are encrypted by default. No online service can guarantee absolute security, so access to your 4words account and workspace should be limited to people you trust.
Retention and deletion
We retain account and workspace information while it is needed to provide 4words. Social credentials are removed from the active workspace when a connection is disconnected. Backup copies, security logs and records required for legal or operational purposes may remain until their normal retention period expires.
You may request access, correction or deletion of your personal information by emailing [email protected]. Please include enough information for us to identify your account. We may need to verify your identity before completing a request.
Your choices
Depending on where you live, you may have rights to access, correct, export, restrict or delete personal information, and to object to or withdraw consent for certain processing. Withdrawing a social permission does not affect actions completed before it was withdrawn.
Age requirement
4words is intended only for people aged 18 or over. We do not knowingly allow anyone under 18 to use the service.
Changes to this policy
We may update this policy as 4words changes. The updated date above will show when the policy was last revised. Material changes may also be communicated within the service.
